There is no single AI assistant that is the right choice for every business. ChatGPT, Microsoft Copilot, Gemini and Claude can help with writing, summarizing and analysis, but the right fit depends on the work and the environment around it. Features, limits and terms vary by product and plan.
Separate the brand, product and licence
One brand can cover several experiences. Microsoft Copilot, for example, does not represent one universal level of access to all Microsoft 365 information. The product, licence, permissions and configuration determine what is available. The same distinction between individual access and an organizational offering matters with other providers.
Identify the exact versions you are evaluating before comparing answers. A feature listed on a marketing page is not a guarantee that it is included in your subscription.
ChatGPT: test versatility against real work
ChatGPT may be worth considering for drafting, revising documents, exploring ideas and working with information supplied by a user. File analysis and connections to other sources depend on the offering and feature availability.
A useful test includes several representative tasks with consistent criteria: faithfulness to sources, Canadian English or French quality, formatting and correction effort. Review account administration and data handling terms for the specific plan separately.
Microsoft Copilot: consider the Microsoft 365 context
Copilot is worth evaluating if your work mainly happens in Outlook, Teams, Word, Excel or SharePoint. Its potential advantage is bringing assistance closer to existing tools, where the selected licence and features allow it.
That makes document governance important. An assistant does not fix confusing file organization or overly broad permissions. Review access, shared spaces and internal rules first. Our Microsoft 365 and Google Workspace services cover this foundation.
Gemini: consider your Google environment
Gemini is a candidate when a team uses Gmail, Google Docs and Google Drive. As with other tools, check which capabilities are available in your edition and which rules apply to business information.
A relevant scenario might involve preparing a document or summarizing authorized information. Also test what happens after the answer is generated: filing it, revising it, sharing it and getting approval.
Claude: evaluate document-based work
Claude can be included in a comparison for writing and reasoning with documents. Its usefulness should be tested with your examples, particularly where instructions are detailed or information from several places needs to be brought together.
Accepting a document is not the same as reliably extracting every detail from it. Ask for specific references to the supplied material and check for omissions as well as unsupported additions.
Build a comparison that supports a decision
Use the same authorized documents and instructions for each tool. Record the results in a simple assessment:
- fit for the task and quality after review;
- integration with tools already in use;
- account and permission management;
- privacy and retention terms;
- total cost, including licences, configuration and support;
- ease of adoption for the people doing the work.
Choose two or three tasks from these AI quick wins first. A focused comparison teaches you more than asking every assistant the same general question.
Frequently asked questions
Should the whole organization use one tool?
A primary tool often makes administration and training easier. A specific need may justify a second tool, provided its purpose is clear and information does not become scattered across unmanaged accounts.
Is an answer with sources automatically reliable?
No. Open the sources and check whether they support the claim. A reference may be incomplete, misinterpreted or unrelated to the conclusion.
Are these capabilities included in every plan?
No. Review current offerings and documentation from ChatGPT, Microsoft Copilot, Google Workspace and Claude when making a decision. Products change.
